Working with Externals & Students


Collaboration with externals (both inside the university, outside, and with other partners)

It is important to track the collaborations students in the lab have with others outside the lab. Before the collaboration can start, it should be in line with the lab agreements, and specifically the IP restrictions are an important aspect in this process. In most cases, approval from the partner needs to be obtained due to possible IP issues. We advise the following procedure:

 

1. The student reports a possible collaboration to the lab manager (even before brainstorming!);

2. The lab manager adds the collaboration to the collaboration register and presents it to the directors;

3. The directors discuss of this in the context of the work packages and the lab;

4. If the directors approve the collaboration, the partner needs to be informed and must also approve the collaboration

5. One of the following three options will then need to happen:

1. If the collaboration is within the knowledge institute, the person involved needs to be informed about the IP agreements of the lab.

2. If the involved person is in a different collaboration (e.g. NWO projects, EU projects etc.) , there needs to be a check on the IP arrangements in the other collaboration agreement.

3. If the person is outside the knowledge institute, the project manager must put the partner in contact with the other organization directly to arrange the IP for this collaboration.

 

Internships by bachelor and master students

We will track the number of bachelor and master students involved in the ICAI ecosystem at the program level based on the input of individual labs. This information is typically gathered for the annual report.

 

If there are IP arrangements involved, arrangements with the student need to be made, because the student owns the IP him/herself. There are different possibilities to include the students in the lab; The student can be given a reimbursement for the IP transfer, the student can be given an inventors fee if IP will be patented or the student can be employed by the company as an intern and work from the company side.
